Moving your business off spreadsheets: a practical guide

Spreadsheets are great until five people edit the same file. Here is how to move to a connected system without disrupting your team.

Almost every growing business starts on spreadsheets. They are flexible, familiar and free. The trouble begins when the business outgrows them: files get duplicated, formulas break and nobody is sure which version is the latest.

Signs you have outgrown spreadsheets

  • The same customer details are typed into more than one file.
  • Month-end reporting means collecting files from several people.
  • You have lost work because two people edited the same sheet.
  • Only one person really understands how the main file works.

Step 1: Decide what moves first

Do not try to move everything at once. Start with the data your team touches every day, usually customers and open orders or jobs. Historical data can follow later.

Step 2: Clean before you import

Remove duplicates, agree on consistent names for fields and archive records you no longer need. An hour of cleaning saves days of confusion after the move.

The goal is not to copy your spreadsheets into new software. It is to stop needing them.

Step 3: Run both for a short time

For a week or two, keep the spreadsheet as a read-only reference while the team works in the new system. Once everyone is comfortable, retire it for good.

Step 4: Train around real tasks

Teach people the three or four things they do every day first. Advanced features can wait until the basics feel natural.
